RPA Express Basics

What is RPA Express?
RPA Express is a robotic process automation (RPA) product. It is the first RPA product that is available with a professional subscription (Pro) and as a free version (Starter).

Is RPA Express a free product?

Yes, RPA Express can be downloaded, installed and used for free. The Pro subscription offers some extended capabilities that any user can try during the one-month introductory trial. When the trial expires, users will still be able to use the RPA Express Starter version with no expiration. Learn more about the Starter and Pro versions here.

What is a bot?
Think of a bot as your digital worker. It shares your desktop computer and server resources. It performs a task just as a human worker would, but at machine speed, with machine accuracy.

What are some typical use cases?
RPA Express can be applied to any process that is typically performed manually on a desktop. It is applicable across multiple functions and industries.

Some examples:

  • HR: new employee onboarding
  • Accounting: invoice processing
  • Accounting: reconciliation
  • IT: password reset

This tool can handle a variety of tasks. Some examples:

  • Transferring non-structured / non-digitized data into a digital document, e.g. extracting values from PDF documents and pasting them into Excel spreadsheets

Who can use RPA Express?
RPA Express is designed to be easily accessible to business people, yet customizable by programmers. The product can be downloaded, installed and operated by anyone, without requiring IT resources. Business users will find RPA Express easy to learn through online tutorials and intuitive to operate with drag-and-drop configuration, a pre-built action library and a recorder for capturing bot actions. Experienced technical users can customize code to create more precise bot tasks.

In addition, RPA Express offers built-in business process management with drag-and-drop configuration, the ability to include manual tasks in your automation workflows, built-in OCR and a recorder for capturing bot actions. It also includes the unique features of Control Tower and WorkSpace, which manage bot tasks and manage manual tasks, respectively.

Additionally, unlike any competitive offerings, if the user does not choose to upgrade to a Pro subscription, RPA Express Starter still can be used for free, forever.

RPA Express Pro Free Trial

What is a 30-day trial?
With the initial download and installation, RPA Express includes a 30-day introductory trial of Pro capabilities, which include multiple bots, multiple machines, and 10,000 complimentary OCR pages. At the end of the trial, users will be limited to Starter version capabilities.

What happens when the trial expires?
When the trial of Pro capabilities expires, users will still be able to use RPA Express. Pro features include:

  • multiple bots on one server
  • multiple processes on the server simultaneously
  • ability for multiple development workstations to create bot tasks that can then be published to the server when ready

After the trial period, if users do not subscribe, they will still be able to use the RPA Express Starter version, which offers:

  • one bot on the machine where RPA Express is installed
  • ability to run consecutive business processes on a local machine
  • access to the full functionality of WorkFusion Studio, Control Tower and other RPA Express components on a local machine

RPA Express is designed to be accessible to business users. To learn how to use RPA Express, we recommend the following resources:

How to select a use case for automation
When selecting your first automation project, there are two main questions to consider.

1. Is your process streamlined and repetitive?
Your process flow should always be the same. If there are any variations, you should know them in advance to account for them in your process. Once you’ve taken the Automation Academy courses and read over relevant Knowledge Base articles, you will find it easy to incorporate manual tasks. However, it is best to start with a simple process that does not require human interaction.

2. What data does your process use?
Study the data used in the process to understand whether it is digital and structured. RPA Express can handle both digital and non-digital structured data. If the data is structured but comes in the form of image-based content, like a PDF, you can leverage the tool’s built-in OCR (optical character recognition, which is a capability to recognize text within images) to digitize your data. RPA Express Starter includes 1,000 complimentary OCR pages, and RPA Express Pro includes 10,000 pages.

I want to run several business process automations at the same time. How can I do it?
With a Pro subscription, you can run multiple bots in RPA Express — which means you can run several processes at the same time and define how many bots will run in each process. By defining the number of bots that each process uses, you can ensure all of them will run simultaneously. By using multiple bots, you can process higher volumes in a shorter amount of time as well as connect multiple stations among your team.
